Job description

About this role

Senior Accountant (Remote, Latin America)

We are hiring a full-time, remote Senior Accountant in Latin America to run accounting, AP/AR, cash management, reporting and compliance. You will be our only finance team member and report directly to the Managing Partner.

We run an adolescent behavioral health programs in the Los Angeles area, including residential treatment, outpatient and mentoring services. We operate several LLCs, each with its own books, bank accounts and payers (commercial insurance and private pay).

What you will do

Accounting and month-end close

  • Close the books for each entity in QuickBooks Online by a set monthly deadline, including bank, credit card and intercompany reconciliations, accruals, and coding of all bank and card activity.
  • Help move management reporting from cash basis to accrual basis, working with our outside CPA.
  • Set up and maintain the chart of accounts for new entities and programs.
  • Latin America (Mexico, Colombia, Argentina, Costa Rica or nearby time zones preferred).

Accounts payable and receivable

  • Run AP: collect invoices and W-9s, set up vendors, build the payment schedule, and prepare payments (ACH, wire, check, card) for owner approval.
  • Schedule recurring obligations so they are paid on time: rents, insurance premiums, taxes and licenses.
  • Invoice contract and private-pay clients monthly, apply payments, process refunds, follow up on collections, and keep an AR aging report.

Billing and collections oversight

  • Provide financial oversight of billing and collections: track insurance and private-pay AR aging by payer and entity, and escalate stalled claims and balances.
  • Reconcile insurance payments (EOBs and remits) and private-pay deposits to the bank and to our billing system, by entity and program.
  • Flag underpayments, denials, misapplied payments and cash posted to the wrong entity, and follow each to resolution.
  • Recover insurance payments sent to families instead of Key Healthcare.

Cash management

  • Monitor cash daily across all bank accounts and credit cards, and send the Managing Partner a daily cash position.
  • Maintain a 13-week cash forecast covering payroll, rent, loans, taxes, and expected insurance and private-pay receipts.
  • Recommend payment timing and transfers between entities.
  • Monitor credit card balances and limits, intercompany transfers and payroll funding.
  • Flag upcoming cash needs early.

Budgets, reporting and KPIs

  • Deliver monthly P&L and balance sheet by entity and consolidated, with EBITDA and adjusted EBITDA.
  • Build and track annual budgets for operations and clinical departments.
  • Report KPIs: cash vs. insurance revenue, revenue per patient day, average daily revenue forecast from census, cost per patient, payer mix and days to payment.
  • Support financial projects such as program openings and closures, lender packages and scenario models.

Compliance and tax

  • Keep a compliance calendar and file on time: state LLC fees and Statements of Information, city business tax and gross receipts, licenses, property statements, and state filings not handled by our payroll provider.
  • Prepare the year-end tax package for our outside CPA and run the 1099 process.
  • Support audits (EDD, workers' compensation, payer).

Payroll and partner calculations

  • Review payroll runs prepared by HR in ADP before submission.
  • Calculate monthly partner profit-participation and bonus payouts.

Insurance, vendors and owner accounts

  • Track all business insurance policies (property, earthquake, auto, workers' compensation, liability): premiums, renewal dates and certificates of insurance, so no policy lapses.
  • Maintain a secure register of finance logins, vendor accounts and subscriptions; cancel unused services and confirm the charges stop.
  • Prepare payments to foreign contractors (wire or Wise) and collect the correct tax forms (W-8BEN or W-9).
  • Track and classify owner draws, distributions, reimbursements and intercompany loans each month.

Payment controls

  • Prepare and queue every payment; only the Managing Partner approves and releases payments.
  • Keep all finance records in shared company drives, not personal inboxes.

What you bring

Required

  • 3+ years of accounting experience for US-based companies, including owning a full month-end close.
  • Hands-on US GAAP experience: you have closed books under US GAAP, not only IFRS.
  • Advanced QuickBooks Online skills across multiple entities, including intercompany entries.
  • Experience with reconciliations and accrual accounting.
  • Experience preparing tax packages for a US CPA and handling 1099s.
  • Advanced Excel or Google Sheets: forecasts, budget models and KPI reports.
  • Fluent written and spoken English (C1 or higher).
  • Discretion with confidential financial and patient-related data, and willingness to follow HIPAA and 42 CFR Part 2 rules.

Nice to have

  • US healthcare revenue cycle experience: insurance remits, EOBs, payer reconciliation.
  • Behavioral health or multi-site healthcare experience.
  • Familiarity with Kipu, CollaborateMD, ADP, Chase business banking or Bill.com.
  • CPA, Contador Público or equivalent credential.
  • Experience with US state and city business filings (California preferred).

Schedule, pay and how to apply

  • Schedule: full-time, 40 hours per week, remote.
  • Location: Latin America (Mexico, Colombia, Argentina, Costa Rica or nearby time zones preferred).
  • Engagement: long-term independent contractor, paid monthly in USD.
  • Pay: Based on experience.

To apply, send your resume in English and a short note covering: the US companies you have closed books for, your QuickBooks Online experience, and one example of a reconciliation or process you fixed.

Pay: $2,500.00 - $3,200.00 per month

Benefits:

  • Work from home

Application Question(s):

  • Are you willing to work in the PST time zone?
  • Can you read/write in fluent English?
  • Can you explain your background in accounting and finance?
  • Are you aware this is a contract role and are you ok with the pay range?
  • Are you located in Latin America (Mexico, Colombia, Argentina, Costa Rica)?
