Production Operations Manager Job Description

Overview:

The main function of the Production Operations Manager is to lead each Production Department Manager and steward those spaces. This will be accomplished by facilitating community and communication among the managers while training and coaching each manager to lead their respective areas well. Another large area of focus will be tracking financials and controlling costs of the Production areas.

This will be done through collaboration with each manager.

Note

This role is part of a larger set of organizational changes being made at Sunergos. As those changes develop, this will impact some of the specifics of teams, meetings, and titles. We do not expect the core job represented here to change.

Accountability Structure

The Production Operations Manager will lead the Production Managers. This consists of:

• Roastery Manager
• Cold Brew Manager
• Bakery Manager
• Warehouse and Logistics Manager

The Production Operations Manager is a member of the Sunergos Operations Management Team. They will work with this team to enrich the company as a whole, as well as support the careful stewardship of their areas of oversight. The Production Managers will report directly to the Production Operations Manager.

The Production Operations Manager will report directly to the Sunergos Lead Team.

The Production Operations Manager is a member of the Coffee Assessment Team.

• The Coffee Assessment Team
• This team consists of:
• Production Operations Manager
• Quality Control and Education Manager
• Roastery Manager
• Kenny Smith
• Andy Pesek
• This team will be responsible for:
• Selecting new coffees for the lineup
• Collaboration on sensory analysis for any coffee being selected or launched
• Setting master curves for all coffees

Sunergos Operations Management Team Vision

The Sunergos Operations Management Team is a team of managers that will collaborate to guide the operational areas of Sunergos. This team will be composed of two sub groups; Operations Managers and Strategic Support Managers. Operations Managers will directly lead operations teams while receiving support, collaboration, and complement from the Strategic Support Managers.

Members of this team are expected to hold each other accountable and work together to find shared solutions for problems that steward all areas well.

Responsibilities

• Production Manager Oversight and Development
• Facilitate healthy management of the production managers with the outcomes being shared resources and a positive work culture across all areas
• Facilitate each production area to create positive customer experiences through their managers and staff
• Train and mentor managers on how to lead their areas well
• Help with general stewarding of each area’s staff, serving as an example and communicator of Sunergos Values
• Regular meetings with Production Managers
• Together with the Lead Team and the Sunergos Operations Team plan for the needs of production spaces individually and collectively.
• Develop and implement a training plan appropriate to each Production Manager in accordance with their skillset, desires, and the needs of Sunergos.
• Policy
• The Production Operations Manager will operate and uphold current policies with and through managers. They will be called upon from time to time to collaborate on and audit both current and new policies related to production.
• The Production Operations Manager will be well-versed in any and all union related needs including the Collective Bargaining Agreement.
• Operational Procedure; This area covers all things pertinent to smooth operations and communicates clear processes. The development of solid and communicable procedures for the team is an area of ongoing development. Much of the below will happen in collaboration with the Lead Team.

• Lead Team needs to be aware of new SOPs and they need to be accessible and consistent with Sunergos formatting standards

• Maintain department operational manual with current SOPs, current job descriptions, etc.
• Staffing
• This section pertains to the categories of oversight and human resources documentation relevant to all staff. Though this is a critical arena of oversight, it is primarily accomplished through the Production Managers and directly involves Production Operations Manager as it relates to assessing staffing levels, affirming assessed training needs and discipline.
• Production Operations Manager will be the authority on hiring within the Production areas
• Establish clear, consistent hiring practices that attract qualified candidates, ensure fair and effective evaluations, and identify the best candidates for each role
• Establish a cadence for annual reviews of Production Managers
• Oversee correction, discipline, termination in the Production areas.
• Production Area Leadership
• Maintain hospitable spaces throughout all production areas of work
• Much of this will happen in collaboration with Production Managers
• Work to be present with the Production Managers while setting goals, communicating company vision, and coaching team to be successful.
• All areas
• Support manager in bringing new products to launch
• Oversee any machine maintenance
• Maintain a system for having replacement parts on hand and regular scheduled maintenance performed
• Create and maintain approved vendor list
• Respond to emergency equipment repairs
• All of this can be done in collaboration with manager
• The Roastery is a primary area of oversight for the Production Operations Manager and requires additional technical attention and involvement
• This role will be responsible for establishing master curves for all coffees. This will be done in collaboration with the Coffee Assessment Team.
• Forecast lineup changes and forwardly communicate start and end dates to all teams
• Make roasting decisions/adjustments in collaboration with and Coffee Assessment Team
• Work to be the authority on roasting knowledge
• Through Roastery Manager establish a team of roasters that are capable of executing defined roast curves
• Oversee roastery building maintenance
• This will be executed by the Roastery Manager
• Oversee Roaster Machine Maintenance
• Maintain a system for having replacement parts on hand, approved vendors, and regular scheduled maintenance performed
• This will be executed by the Roastery Manager
• Meetings and Reporting; This area covers the need to lead a team of managers as well as integrate with a team of coworkers through regular touch points.
• Sunergos Operations Management Team member
• Integrate as a pivotal member of the Operations Management Team by participating and contributing to team meetings on a regular basis.
• Bring a report on how the production areas are performing and current events.
• Participate and drive the betterment of the Production Department through discussion based, collaborative problem solving with the Operations Management Team
• Be committed to collaborative interdepartmental development
• Integration with Lead Team
• Attend regular meetings and discussion with Lead Team to facilitate betterment of Production Departments
• Each Production Manager
• Schedule regular team meetings and individual check-ins to facilitate teamwork and progress
• Financial and Data Analysis; This will be accomplished through accumulated data from our bookkeeping software. Target goals will be established and assessed by Sunergos Lead. Much of the below work will be in collaboration with the Lead Team.
• Track orders and expenses via supplied Financial Reports
• Facilitate expense tracking for bookkeeper through timely collection of all invoices and receipts
• This can be done through delegating to management team
• Track labor costs
• Expense Analysis
• Collaborate with Lead Team, Shop Operations Manager, and Wholesale Operations Manager on coffee pricing
• Establish and maintain KPIs as it pertains to healthy production operations in all areas. This point deals with the reality of being an expense center and the need for data points to track success and opportunity separate from sales.
• This can be done through delegating to management team
• Building Maintenance; This category of oversight aims to ensure that all Sunergos spaces are maintained in a manner in keeping with safety, hospitality, and overall appearance through the regular inspection and repair of buildings and facilities.
• Audit the spaces and provide feedback on how they can become better spaces and fit within the Sunergos Values
• Create & maintain a checklist
• Create & maintain manager reporting mechanism
• Define a contact list for services needed complete with troubleshooting and ideal person or company depending on severity of issue
• Monthly walk-through using items above
• Acquire bids and garner approval, with the help of the Lead Team if needed.
• Report findings and results as needed
