About this role
How We
Work. MCBID is a small team with a large footprint, and it succeeds only when its people work as one. Every role here is expected to share information freely, step in across functions when the work calls for it, and treat a colleague's success as part of their own.
Titles define where accountability sits. They do not define the limits of anyone's contribution.
Overview of Role
The Community & Operations Manager is the BID's front door. Most people who reach MCBID come through this role first: a business owner with an idea, a property owner with a concern, a resident reporting a broken planter. The role keeps the district connected to the BID, keeps the office running, gets maintenance requests from intake to resolution, and keeps the Board and district informed.
In order of priority, the work is community, operations, communications, and team coordination.
Duties and Responsibilities
COMMUNITY
● Serve as the primary staff liaison to district businesses and property owners. Do outreach in person and by email, welcome new businesses, and recruit members into BID programs and promotions.
● Maintain the BID's in-house databases, including the member list of assessed property owners and non-residential tenants required under By-Laws §3.01, along with contact, Board, and committee lists.
● Maintain the BID website, including business and event listings, in coordination with the
Marketing Department.
● Send all stakeholder emails/notices to property owners, businesses, and partners. Emails to the
general public is handled by the Marketing Department.
● Collect and enter data for BID surveys and reporting.
FRONT DESK AND OPERATIONS
● Answer phones, greet visitors, and manage the general inbox and mail, responding promptly.
● Serve as the intake point for all maintenance, cleaning, and quality-of-life requests. Dispatch them
to the maintenance contractor, track each to closure, and report recurring issues to the ED.
● Manage office supplies, IT, utilities, and service vendors within the office.
● Assist in maintaining BID filing systems and records, including Board, committee, event, and
contract files.
● Prepare invoices and payables for ED approval. The ED is the BID's sole signatory.
● Notify the ED in advance of any debit card purchase, and provide receipts with program
notations.
BOARD AND DISTRICT COMMUNICATIONS
● Prepare and distribute Board and committee meeting notices, agendas, and packets.
● Record and prepare minutes of Board and committee meetings, and prepare meeting notices, in
support of the Board Secretary, who retains responsibility for them under By-Laws §5.04.
● Manage district-wide notices and mailings to stakeholders.
TEAM COORDINATION
● Maintain the shared team calendar, track follow-ups from staff meetings, and keep every role
informed of what the others are doing.
● Support the Assistant Director with event administration: supplies, RSVPs, volunteer sign-ups,
and event files.
● Contribute to marketing strategy both from a communications perspective, and as opportunities
arise.
ETHICS
● Adhere to the Corporation's Conflict of Interest Policy (By-Laws §9.04). Disclose promptly to the
Executive Director any personal interest in a matter the Manager is working on.
Additional duties and responsibilities, as requested by the Executive Director.
Qualifications:
● Bachelor's degree and/or 3+ years of experience in one or more of the following: office or
operations management, community engagement, communications, copywriting, customer
service, hospitality, retail or small business operations or support, or nonprofit administration.
● Strong relationship skills. Comfortable walking into a storefront and starting a conversation.
● Experience maintaining databases and websites. Familiarity with CRM, email platforms, and
website content management systems is a plus.
● Highly organized and detail-oriented, with the ability to track many requests to completion.
● Strong verbal and written communication skills.
● A customer service-oriented attitude and approach is paramount.
● Attendance at periodic early morning, evening, and weekend meetings or events is required.
● Able to collaborate as a thoughtful member of a small team while carrying certain responsibilities
independently.
● The utmost appreciation of, and ability to handle, a myriad of tasks large and small, as required by staff members of a small organization.
● If not all, but most of these qualifications speak to you, please don't hesitate to reach out. We understand that not everything translates directly from a piece of paper, and we're willing to get creative for the right fit.
