About this role
Property Service Operations Manager About the role
This role suits an operations leader who enjoys building client relationships, developing high-performing teams and improving the day-to-day performance of property maintenance.
You will shape the policies, procedures and programs behind safe, reliable and efficient operations; serve as a key client contact; coordinate services, financials, vendors and staffing across the portfolio; and lead the sales team to grow the business. Pay rises with the profit you help create.
Key responsibilities
Maintenance operations
- Lead daily operations across multiple buildings and locations: preventive and corrective maintenance, work orders, inspections and service response.
- Keep preventive maintenance on schedule and documented; track backlog, completion rates, response times and service quality.
- Keep accurate records of labor, materials, parts, equipment history and cost.
- Lead first response and stabilization of building systems, and plan scheduling and resources to meet shifting priorities.
Clients, vendors and safety
- Build strong client, employee, vendor and community relationships; coordinate subcontractors and client-contracted providers.
- Report operational updates, risks, equipment concerns, staffing needs and service issues to leadership.
- Drive a safety-first culture and compliance with federal, state, local, client and company requirements, including incident reporting and corrective actions.
People leadership
- Supervise maintenance personnel, skilled trades and technicians, owning training, onboarding, coaching and performance management.
- Develop the next layer of supervisors so the business can scale without depending on any one person.
Sales, financial performance and growth
- Manage the service business P&L and scale the business line regionally and nationally.
- Lead the sales team and hold it accountable through quotas, pipeline reviews and compensation plans.
- Own pricing, estimating standards and bid approval so work is sold at target margin.
- Grow recurring service-agreement revenue with property managers, owners and commercial accounts.
- Work with accounting on accurate billing and cost recovery; report monthly results and forecasts to ownership with clear actions on any gaps.
Qualifications
Required
- Bachelor’s degree in property/facilities management, business, engineering or a related field, or equivalent education and experience.
- 8+ years of facilities maintenance or operations experience, including 5+ years managing a facilities team across multiple sites; industrial and retail center experience.
- Led a sales or business development team with P&L ownership and a record of growing revenue and margin.
- Strong analytical skills using data, reports and operational metrics; working knowledge of budgeting, purchasing and accounting practices.
- Strong leadership, communication and relationship skills; able to balance teams, vendors, competing priorities and client expectations.
- Calm, solutions-focused judgment in urgent or changing conditions.
- Proficient with Yardi and Microsoft Office (Outlook, Word, Excel).
Preferred
- CFM, FMP, LEED or similar certification; experience with a CMMS.
- Experience with critical building systems: HVAC, electrical, mechanical, plumbing and life safety.
- Background running a field-service business such as landscaping, HVAC or commercial cleaning.
- Knowledge of the South Florida market, including hurricane-season planning and local licensing rules; bilingual in English and Spanish.
