The Global HR Organization of Vanderlande is organized in 4 main areas: Business HR, Reward & Mobility, Talent Acquisition & Learning and Regional HR & Services.

The Regional HR & Services organization delivers specific expertise like HR Advice locally close to our business stakeholders. In addition, this department also holds the Global HR Service Desk and the Global HR Specialists team, who play an active global role in maintaining, supporting, and enabling HR service delivery.

As HR Service Agent you are part of the Global HR Service Desk within Vanderlande, reporting into the Regional HR Service Desk Lead Americas, located at Vanderlande, Marietta.

The team consists of four HR Service Agents in total, and this position will be one of them.

As HR Service Agent you are the first point of contact for employees based in Brazil. You resolve first line HR queries and questions related to e. g.

HR policies, processes and systems and executes basic transactions. You support employees and managers in using manager- and employee self-service. You play a key role in service delivery and employee experience (Happy Customer!)

Your activities focus on operational excellence and continuous improvement.

Job Description

Position Summary

The HR Service Agent – Brazil is responsible for delivering high-quality HR operational services across the employee lifecycle.

The role supports onboarding, employee administration, payroll and benefits processes, time and attendance administration, medical leave management, and HR systems activities while ensuring compliance with Brazilian labor legislation, collective bargaining agreements, company policies, and service level agreements.

The position plays a critical role in ensuring accurate employee data management, timely payroll inputs, benefits administration, and a positive employee experience through efficient and compliant HR service delivery.

Key Responsibilities

  • Employee Lifecycle Administration · Process new hire activities in Workday.
  • · Prepare and maintain employment contracts, contract amendments, and other employment-related documentation.
  • · Coordinate onboarding activities, including welcome kit administration and policy acknowledgements.
  • · Maintain employee personnel files and HR records.
  • · Process contract extensions, salary increase amendments, bonus amendments, and vacation-related documentation.
  • · Support labor authority submissions and employee documentation requirements.
  • Offboarding & Terminations · Prepare non-renewal and dismissal documentation.
  • · Coordinate final settlement document and payment requests.
  • · Process employee terminations in Workday.
  • · Ensure compliance with local labor legislation during termination processes.
  • Payroll Administration · Collect, validate, and submit payroll inputs for: o New hires o Terminations o Salary increases o Bonus payments o LTI payments o Collective agreement adjustments o Vacation cash-outs o Holiday and weekend worked payments o STA allowances · Support monthly payroll closing activities.
  • · Validate payroll data and resolve discrepancies.
  • · Review payroll reports and payslips to ensure payment accuracy.
  • · Support payroll compliance and audit activities.
  • Payroll Quality & Compliance · Validate overtime calculations.
  • · Validate night shift premium calculations.
  • · Review payroll outputs and payslips before payroll closure.
  • · Ensure compliance with labor, social security, and tax regulations.
  • · Identify and mitigate payroll risks and inaccuracies.

  • · Review supporting documentation.
  • · Apply payroll and benefits adjustments related to medical leave.
  • · Ensure compliance with applicable policies and legal requirements.
  • HR Systems & Reporting · Support HR operations through Workday and TOPdesk.
  • · Maintain HR reports and employee data.
  • · Upload and maintain knowledge articles.
  • · Support e-filing and employee data maintenance activities.

Qualifications

  • Education & Experience · Bachelor's degree in Human Resources, Business Administration, Psychology, Labor Relations, or a related field is preferred.
  • · 2-5 years of experience in HR Operations, HR Shared Services, Payroll Administration, or HR Administration.
  • · Experience supporting Brazilian HR and payroll processes.
  • · Experience working with HRIS systems and ticketing tools.
  • · Experience handling confidential employee information.
  • Technical Knowledge · Knowledge of Brazilian labor legislation and HR administration practices.
  • · Understanding of payroll processes and benefits administration.
  • · Experience with Workday is preferred.
  • · Experience with TOPdesk or similar ticket management systems is preferred.
  • · Strong Microsoft Office skills, particularly Excel.
