Role Description

We're looking for an Executive Assistant / Sr. Executive Assistant to support a multi-hat executive within Salesforce AI Labs. This is a fast-moving, high-volume environment where operations increasingly run through AI-native tools and workflows.

Your Impact

You'll be a true strategic partner — not just managing logistics, but helping your executive scale across a demanding, multi-faceted portfolio while protecting sensitive and significant information with care and judgment.

Core Responsibilities:

  • Manage complex, fast-shifting calendars across multiple distinct workstreams, keeping each clearly delineated.
  • Coordinate internal and external meetings with careful attention detail.
  • Monitor and triage information across different channels, synthesizing it into a coherent, actionable picture.
  • Use agentic AI assistants and chatbots (e.g. Slackbot, Cloud Code, Codex) as core working tools.
  • Book domestic/international travel, accounting for visas, cost, and documentation.
  • Handle highly confidential and sensitive material with absolute discretion and trustworthiness.
  • Assist with meeting logistics, food orders, and other business planning as needed.
  • Other administrative and project duties as requested.

Minimum Requirements:

  • Based in a central-US time zone (CT or ET preferred) to overlap with collaborators primarily in those zones.
  • Hybrid in-office 3x/week in an approved location.
  • 5+ years of applicable administrative experience, ideally supporting senior/executive leadership in a fast-paced, global software or tech organization.
  • Demonstrated comfort being "AI-native": fluent or eager to become fluent with agentic assistants/chatbots, understands trade-offs across different AI tool surfaces, and can connect data sources to build durable, queryable context rather than one-off summaries.
  • Exceptional attention to detail, discretion, and judgment.
  • Strong organizational awareness — ability to map people, relationships, and moving pieces across a complex org structure.
  • Experience managing competing calendars/priorities across genuinely distinct functional areas.
  • Strong verbal/written communication skills with senior leaders and external partners.
  • Working proficiency in Google Suite; experience with Slack, Zoom/Webex/GMeet, Quip, Salesforce, and Tableau a plus.
