- Serve as the first point of contact for employees and managers, providing timely support and guidance on general HR inquiries and service requests.
- Enter, maintain, and update employee information in the HR database, ensuring employee records and files, including electronic and physical documents, are accurate, complete, and properly documented.
- Prepare and complete HR reports relating to attendance and absence statistics, new hires, terminations, transfers, and other assigned workforce information.
- Prepare a broad range of employee letters and HR communications, including business visa and invitation letters, promotion letters, salary review letters, share grant letters, employment certificates, compensation change letters, and other ad hoc communications as required.
- Administer employee health, welfare, benefits, and retirement plans, including onboarding, leaver processing, and annual renewal administration.
- Administer global onboarding and offboarding processes in accordance with established HR procedures and timelines.
- Process electronic HR forms related to employee lifecycle activities, including status changes, employment updates, benefits changes, terminations, and corresponding updates in SuccessFactors.
- Provide employees with accurate guidance and support on matters relating to their personal employee information, including employment reference requests.
- Schedule and conduct weekly New Hire/Onboarding Induction sessions.
- Purchase Order and invoice processing as directed by HR Business Partners.
- Support tasks intake and adoption from Country HR Business Partners and other COEs (e.g., Total Rewards, Talent Development, Global Mobility, etc.)
- Support Global/Regional/Country HR Projects and Special Assignments, as assigned by supervisor.
- Participate in Continuous Improvement projects by partnering with relevant stakeholders to enhance and standardize HR processes.
- Liaise with various stakeholders or other functional departments (e.g., Finance, IT, Payroll, Legal, HRBPs, Recruiters, etc.) to manage and resolve HR cases effectively.
- Ensure all actions and documentation comply with company policies, procedures, and confidentiality standards.
- Perform all other duties as assigned by the supervisor from time to time, based on business needs.
Preferred Skills & Knowledge:
- Minimum of 2-3 years of experience in HR Operations or Administration is preferred.
- Strong written and verbal communication skills, particularly in English, with the ability to collaborate effectively with internal and external stakeholders.
- Experience working in a global organization or global shared services environment would be an advantage.
- Ability to work independently with strong attention to detail while maintaining strict confidentiality.
- Good working knowledge of HR systems and automated processes, preferably with experience in SuccessFactors, Oracle, Workday, or similar platforms.
- Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word.
- Ability to evaluate existing processes and identify opportunities for automation, efficiency improvement, and standardization.
- Experience using AI and automation tools, such as Microsoft Copilot, Claude, Power Automate, and Power BI, would be an added advantage.
- Ability to prioritize work effectively, adapt to change, apply critical thinking, and use sound problem-solving skills.
- Customer-oriented mindset with a strong focus on service quality, responsiveness, and continuous improvement.
