We are looking for an Assistant Officer to support the Production team in documentation control, project coordination and general administrative activities.
The role is responsible for maintaining production-related documents, coordinating document registration and distribution, supporting departmental projects and activities, and ensuring timely completion of assigned tasks.
Key Responsibilities
Documentation Control
- Prepare, revise, register and maintain production-related reports, procedures, notices and controlled documents, ensuring documents are accurate and up to date.
Document Coordination
- Coordinate document registration, distribution and revision with Document Control and relevant departments, and ensure documents are properly maintained at designated locations.
Project & Activity Coordination
- Coordinate and follow up on departmental projects and activities, including INTEX, VEC, automation activities, productivity campaigns and engineering-related events.
Administrative & Production
Support
- Provide administrative support to the Production team, including report preparation, data compilation, departmental activities and Production Policy-related inputs.
Supplies & Expense Control
- Manage departmental supplies and stock levels, prepare purchase requisitions and support expense control to ensure sufficient resources for production use.
Quality, Safety & Management System
Support
- Support compliance with environmental, safety, quality and management system requirements, including ISO 9001, IATF 16949, ISO 14001 and ISO 45001.
MUST Have
- Diploma in Business Administration, Management, Engineering or related field.
- Good proficiency in Microsoft Office, especially Excel, Word and PowerPoint.
- Good documentation, coordination and administrative skills.
- Detail-oriented with good follow-up and time management skills.
- Good communication skills and able to coordinate with different departments.
- Able to work independently and manage multiple tasks within required timelines.
GOOD to Have
- Working experience in a manufacturing or semiconductor environment.
- Experience in document control or production administration.
- Familiarity with controlled documents, document registration and revision processes.
- Basic knowledge of ISO 9001, IATF 16949, ISO 14001 or ISO 45001.
- Experience in project coordination, purchase requisition.
