This is a senior, hands-on role. You'll be the Practice Principal's right hand and keep the practice running smoothly day to day. You'll own the work from start to finish, spot problems before they happen, and act without waiting to be asked.

Being senior doesn't mean stepping back from the front desk. Some days you'll run surgical bookings and billing. Other days you'll be on the phones, preparing rooms or reprocessing instruments.

This role suits someone who enjoys that mix.

What you'll do

  • Provide senior secretarial support to the Practice Principal, including correspondence, documents, follow-up and liaison with hospitals, specialists, pathology, imaging and Genea
  • Manage the Practice Principal's diary across consulting, surgery and fertility commitments, and plan ahead when things change
  • Run the surgical pathway from booking to post-op follow-up, including quotes, informed financial consent, theatre coordination and hospital paperwork
  • Prepare surgical quotes (known-gap, GapCover, private and uninsured), process Medicare/Eclipse and health fund claims, and follow up outstanding accounts
  • Oversee reception, referrals, appointments and inbox workflows, stepping in personally when needed
  • Coordinate the daily work of reception and casual staff, giving guidance and flagging coverage gaps early
  • Handle routine patient complaints with care, and escalate clinical or serious matters
  • Reset consulting rooms, handle specimens, and clean and sterilise instruments following infection control procedures (training provided)
  • Senior medical secretary experience in a specialist practice or similar healthcare setting
  • Experience with surgical administration, quotes, informed financial consent and Medicare/Eclipse (or the ability to learn these quickly)
  • Strong medical terminology, with Genie and Microsoft 365 skills (or the ability to pick them up fast)
  • Excellent judgement, with a clear sense of what you can resolve yourself and what needs escalating
  • Calm, discreet and genuinely kind with patients who are anxious or distressed
  • A doer who is comfortable leading a small team while still rolling up your sleeves
