The role

This role is the enabler for our entire on-site team. Nothing happens here without you—you are an integral part of the team and one of the most important hires we are making this year.

Office & Facilities

• Full ownership of the Vienna office: interior design, contractors, repairs, equipment, office supplies, and catering
• First point of contact – you solve problems before others even notice them
• Creative freedom to shape the current office and the new one coming this autumn

Onboarding

• Every new hire is fully set up from Day 1 – desk, access rights, and equipment are ready to go
• Organizing accommodation for international new hires

Finance Operations

• Structured bookkeeping and account coding – nothing slips through the cracks
• Collecting outstanding payments (including historical ones) via automated processes
• Ownership of accurate customer invoicing and coordination with the Sales team

Executive Assistant

Support

• Support with press-related matters and document preparation for our management team
• Organizing team events and offsites

What you bring

• An ownership mindset: you spot problems before they escalate and solve them proactively
• Meticulously organized, without losing sight of the big picture
• Initial experience in office management, operations, or as an EA—ideally in a startup environment
• A basic understanding of financial processes
• Fluency in English
