About this role

POSITION SUMMARY

The Senior Accountant independently manages multiple sets of books for VIP Sports Getaway and its affiliated businesses. This hands-on role carries each entity’s accounting work from the original transaction through reconciliation and month-end reporting. The Senior Accountant applies sound judgment, resolves discrepancies and gives the CFO a clear account of financial results and outstanding issues.

KEY RESPONSIBILITIES

Daily Accounting and General Ledger

  • Manage accounts payable, accounts receivable and customer billing for each assigned entity. Verify supporting documents, record vendor invoices, apply customer payments and follow up on open items.
  • Track customer deposits and vendor prepayments by event or trip. Reconcile each event or trip after it ends and resolve outstanding refunds or credits.
  • Prepare and post journal entries, including accruals and adjustments. Record transactions in the correct entity, account and period to maintain accurate books in accordance with generally accepted accounting principles (GAAP).

Reconciliations and Month-End Close

  • Reconcile bank, credit card and balance-sheet accounts to statements and supporting schedules. Match intercompany balances across both sets of books and resolve differences before close.
  • Allocate shared expenses among the businesses using the method approved by the CFO. Document the basis for each allocation and verify that each entity records its share.
  • Prepare month-end close schedules and financial reports for CFO review. Explain significant changes, identify unresolved items and document the action needed to close them.
  • Investigate discrepancies and help clean up historical balances. Trace entries to source documents, record approved corrections and verify that the affected accounts reconcile.
  • Prepare year-end reconciliations and supporting schedules for each entity. Coordinate requests from the company’s tax preparer or external accountant and follow outstanding items through completion.

Payroll and Sales Tax

  • Process payroll for assigned entities and provide backup coverage as directed by the CFO. Submit payroll to the designated approver before release. Reconcile payroll registers, deductions and tax liabilities to the general ledger, and complete the related payroll tax reporting and filings.
  • Prepare and file sales tax returns for each applicable entity. Reconcile taxable sales and tax collected to the ledger, resolve differences and retain support for each filing.

Procedures and Team Coordination

  • Document recurring accounting procedures so another team member can complete the work. Coordinate close, payroll and filing deadlines with the CFO and accounting team, communicate delays early and follow open items through completion.

DECISION-MAKING AUTHORITY

The Senior Accountant independently resolves routine accounting issues within established policies and approval limits. When a transaction requires a significant judgment or a correction affects a prior period, the Senior Accountant documents the facts and recommended treatment for CFO review. Payments and adjustments follow the company’s approval procedures.

QUALIFICATIONS

  • Substantial accounting experience independently managing multiple sets of books, including ownership of reconciliations and month-end close.
  • Strong working knowledge of GAAP and accrual accounting, with the ability to process routine transactions and exercise sound judgment on complex accounting issues.
  • Practical experience processing payroll, completing payroll tax reporting and filings, and preparing, reconciling and filing sales tax returns.
  • Proficiency in QuickBooks Online and Microsoft Excel for maintaining separate company files, reconciling accounts and preparing financial schedules.
  • Accurate, organized and dependable. Communicates findings clearly, takes ownership of deadlines and follows issues through resolution.
  • Works respectfully with colleagues, willingly helps teammates and shares information that others need to meet deadlines. Contributes to a culture of respect, accountability and collaboration.
  • An accounting degree is preferred. Equivalent demonstrated accounting experience is considered. A CPA credential is welcome and optional.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT

Work takes place primarily in an office and involves extended computer use, reviewing financial records and communicating with colleagues. The employee handles confidential financial and payroll information and performs the essential duties with or without reasonable accommodation.

Employment with VIP Sports Getaway is at will. Either the employee or VIP Sports Getaway may end employment at any time, with or without cause or advance notice, subject to applicable law. This job description does not create an employment contract or alter the at-will relationship.
