About this role
Position purpose
The Accountant keeps Transcend Transport’s books accurate and on time in Axon. The role runs the general ledger and month-end close, prepares the financial statements and analysis leadership uses to run the business, and handles the company’s year-end and tax work. There is no outside CPA; this position fills that seat and reports directly to the President and owner.
Essential duties and responsibilities
Time percentages are estimates and will shift around month end and year end.
1. General ledger and month-end close (about 40%)
- Prepare and post journal entries, accruals and prepaid amortization in Axon, including insurance premiums.
- Record payroll journal entries from the payroll reports provided each week.
- Reconcile all bank, credit card and loan accounts monthly.
- Track fleet assets (tractors, trailers, equipment) and record depreciation.
- Record and reconcile transactions with Steel Warehouse and other related companies.
- Close the books by a designated date each month and review the trial balance and results with the President.
2. Financial reporting and analysis (about 25%)
- Prepare monthly financial statements and budget-to-actual reports for the President and owners.
- Build the annual budget and a rolling 13-week cash flow forecast with the President.
- Report fleet costs such as cost per mile, fuel and maintenance, working with the Financial Analyst.
- Analyze margins, trends and variances, and recommend actions to the President and owners.
- Build and maintain Excel workbooks for reconciliations, schedules and ad hoc analysis.
3. Year-end, tax and audit (about 20%)
- Prepare year-end closing entries and the annual financial statements.
- Prepare the federal S-corporation return (Form 1120-S), shareholder K-1s and the Indiana S-corporation return.
- Track shareholder distributions and basis records for the owners.
- Respond to tax notices and support insurance, bank and lender reviews with the records they request.
4. Controls and process (about 15%)
- Write and maintain accounting procedures and a month-end close checklist.
- Keep duties separated: no one person both sets up and pays a vendor.
- Keep financial records under the company’s retention schedule.
Other duties as assigned.
