About the Position

Since 1999, the People's Pantry of Great Barrington has been serving our neighbors in South Berkshire County experiencing food insecurity by distributing healthy, quality, nutritious and, when possible, locally sourced food. The People's Pantry is a 501(c)(3) nonprofit organization supported by volunteers and food and financial donations.

We are looking for a dedicated, organized, and compassionate individual to manage the day-to-day operations of our busy, volunteer-driven food pantry, with availability beginning in December or January. The Pantry Operations Manager plays a central role in ensuring that our shoppers have reliable access to safe, nutritious, high-quality food in a welcoming and respectful environment.

The position involves working closely with volunteers, local food purveyors and producers, community partners, and the Pantry’s Operations team.

Key Responsibilities

: Oversee food distribution, including preparation, setup, cleanup, food safety, and maintaining a welcoming and efficient shopping experience.

: Manage food ordering, purchasing, donations, deliveries, inventory, and storage, all within established purchasing and spending limits. Maintain positive working relationships with local farms, vendors, and food banks.

: Schedule, train, support, and communicate with volunteers. Effectively delegate responsibilities and empower volunteers to take ownership of tasks.

: Develop and maintain reliable routines for recurring weekly tasks, ensuring responsibilities are clearly assigned, tasks are completed on time, and operations run smoothly.

: Maintain accurate records relating to shoppers, volunteers, inventory, and suppliers, using pantry-specific and other software. Maintain records in compliance with vendor, supplier and any regulatory requirements.

: Help maintain a clean, safe, secure, organized, and accessible Pantry space, for shoppers and volunteers.

: Write and distribute a monthly newsletter to Pantry volunteers and communicate weekly with the Pantry’s social media coordinator to share updates, activities, and relevant information. Handle routine communications with all relevant stakeholders.

: Work closely with the Operations team, volunteers, shoppers and community partners to continuously improve Pantry services.

Qualifications

We are looking for someone who:

· Has strong organizational, communication, and interpersonal skills.

· Has excellent delegation skills and the ability to train, empower, and trust volunteers to work independently.

· Enjoys working with people from diverse backgrounds and is committed to treating everyone with dignity and respect.

· Can manage multiple responsibilities, solve problems, and work independently.

· Has experience coordinating, supporting, and motivating volunteers or teams.

· Has basic computer skills and is willing to learn Pantry-specific software.

· Is comfortable with the physical aspects of pantry operations, including handling food deliveries, stocking shelves and ability to lift 25 pounds.

Experience in all or any of the following is welcome: nonprofit operations; food distribution; volunteer coordination; administration; inventory and/or budget management. Language skills are valued, with proficiency in Spanish desirable but not required.

Schedule

This position offers a combination of required on-site and flexible remote working opportunities. The Pantry Operations Manager must be on-site during Pantry distribution hours, scheduled food deliveries, and at other times as determined by the Vice President of Operations, but may work remotely on independent administrative and reporting tasks.
