About this role

POSITION PROFILE

Ventura Holdings Group, LLC is a diversified, privately owned family organization with businesses in building materials, retail, e-commerce, hospitality, recycling and real estate. The Controller leads accounting for the holding company and its assigned affiliated entities, owning accurate books, timely financial reporting, effective controls and reliable visibility into cash.

This is a hands-on position working full-time from the VHG office in Coconut Grove. The Controller reports jointly to the President (Owner) and the Vice President and leads the local and Philippines-based accounting team. The Vice President coordinates day-to-day priorities; both leaders receive financial reports, cash forecasts and timely escalation of material issues.

The Controller works with operating managers, recommends practical solutions and implements approved decisions. The President and Vice President lead financing strategy and major investments, supported by the Controller's analysis.

ESSENTIAL JOB RESPONSIBILITIES AND RESULTS

Accounting oversight and management reporting

  • Own the general ledger, monthly close and financial statements across assigned entities. Require supported bank, receivable, payable, inventory, fixed-asset, debt and intercompany reconciliations; resolve material exceptions promptly.
  • Set and maintain the close calendar. Following stabilization, work toward accounting close by the 10th and an owner reporting package by the 15th. Explain exceptions and assign owners and completion dates.
  • Prepare consistent entity and combined financial reporting, with appropriate intercompany eliminations and separate presentation of designated owner and family accounting. Explain material changes and provide clear information for management decisions.
  • Coordinate annual operating budgets and budget-to-actual reporting with operating managers. Identify spending variances, margin changes and working-capital issues; recommend corrective actions to the President and Vice President.

Cash forecasting and bank reporting

  • Prepare and update a rolling 13-week cash forecast each week by entity. Identify when and how much cash may be needed, explain forecast variances and recommend collection, payment or operating actions. Escalate funding needs early for leadership decisions.
  • Maintain current debt, payment, maturity, collateral and covenant schedules. Calculate required covenants from the governing agreements and reconciled information; project covenant headroom under agreed assumptions and raise potential issues early.
  • Serve as the day-to-day accounting and reporting contact for lenders. Prepare reporting packages and renewal or financing support, answer financial-information requests and coordinate approved banking actions. Financing strategy, negotiations and commitments are led by the President and Vice President.
  • Monitor receivables, payables and payment priorities with operating managers. Maintain independent controls over payee changes, invoice approval and payment release; exercise only delegated authority and respect restrictions on moving cash between entities.

Compliance and business accounting

  • Review complex balances, material journal entries and supporting schedules. Apply approved accounting policies and ensure each significant entry has an identified preparer, reviewer and documented support.
  • Ensure operating-system activity ties to the ledger, including retail inventory and cost of goods sold, hotel receipts, e-commerce settlements and recycling billing. Investigate discrepancies with the accounting team and operating managers.
  • Oversee payroll accounting with HR and payroll providers. Maintain a calendar for sales tax, property tax, other required filings and payments, and entity-specific financial obligations.
  • Coordinate external CPA tax preparation, reviews, compilations and audits as applicable. Deliver reconciled schedules, answer questions and ensure approved adjustments are recorded and carried forward.
  • Coordinate designated owner, residence and family accounting with separate books, approvals and access. Supply supporting records to specialist advisers and escalate matters requiring their expertise.
  • Review payroll, vendor spending and operating expenses with business managers. Identify accounting errors, avoidable costs and opportunities for improved financial discipline; track approved corrective actions.

Team leadership and systems improvement

  • Lead, develop and evaluate local and offshore accounting staff. Define assignments, technical review, deadlines and backups. Assign local operating coordination, close preparation and specialist supervision within the staffing structure approved by management.
  • Manage the department within its approved budget. Review workload, capability and controls before recommending staffing changes; obtain required approval and complete handovers before reducing coverage.
  • Improve QuickBooks, QuickBooks Online, Eagle Epicor, BILL and related workflows. Reduce rework and manual processing while maintaining accurate reconciliations, supporting documents and approval controls.
  • Implement systems improvements under priorities established by the President and Vice President. Validate balances, interfaces, access and recurring processes before accepting a migration or retiring a workflow; escalate issues requiring additional resources.
  • Document procedures and train backups so critical payments, reporting and compliance processes can continue when any individual is unavailable.

QUALIFICATIONS

  • Bachelor's degree in Accounting, Finance or a related field. CPA designation strongly preferred.
  • At least eight years of progressive accounting experience, including substantial responsibility as a Controller, Accounting Manager or comparable accounting leader with hands-on ownership of a multi-entity close and staff supervision.
  • Demonstrated ability to deliver multi-entity financial statements, reconciliations, internal controls, cash forecasts and lender reporting, and explain financial issues clearly to management.
  • Strong technical accounting knowledge, including GAAP, inventory and cost accounting, intercompany transactions, debt and lease accounting, and coordination of book-to-tax adjustments.
  • Proven success developing a small team and improving accounting systems or workflows. Experience managing offshore staff is preferred; ability to establish reliable remote-team accountability is required.
  • Strong Excel, reconciliation and cash-forecasting skills. QuickBooks and QuickBooks Online proficiency preferred; Eagle Epicor, BILL and reporting-platform experience are valuable.
  • Experience in privately owned, family-owned or multi-business organizations is preferred. Relevant retail, distribution, hospitality, recycling or real-estate experience is valuable.
  • Ability to work full-time on-site in Coconut Grove and communicate clearly with owners, operating managers, lenders, CPAs and offshore colleagues.

KNOWLEDGE SKILLS AND JUDGMENT

The Controller must combine technical accounting strength with practical business judgment, investigate problems and propose workable solutions. The role requires initiative, flexibility, discretion and dependable follow-through during close deadlines, cash pressures and systems changes.

PERFORMANCE EXPECTATIONS

  • Reliable weekly cash forecasts, explained variances and early escalation of cash shortfalls with practical recommendations.
  • Timely closes and owner reports supported by reconciliations, with material accounting exceptions assigned and resolved.
  • Accurate lender reporting, covenant calculations and CPA schedules delivered by their required dates, with potential issues raised early.
  • Measurable improvements in collections, payment controls, accounting productivity, expense visibility and backup coverage within the approved department budget.

WORK ENVIRONMENT AND BENEFITS

Benefits are provided under applicable company plans and eligibility rules. Any incentive arrangement requires separate approval and documentation in the offer.

Full-time office-based position in Coconut Grove, Florida, with occasional visits to affiliated businesses as needed. The role involves regular computer use, financial analysis, meetings and communication with local and international colleagues. Reasonable accommodations may be made to enable performance of the essential functions.
