About this role

ON-SITE COMMUNITY OPERATIONS MANAGER

Sequoia Management Company is seeking an exceptional, self-directed professional to lead day-to-day operations for an established residential association in Northern Virginia. This is a hands-on leadership position for someone who thrives on responsibility, creates order out of competing priorities, and takes initiative without waiting to be told what needs attention.

The successful candidate will bring strong organizational systems, confident leadership, excellent follow-through, and the ability to keep maintenance, vendors, inspections, projects, and resident service moving forward simultaneously.

Key Responsibilities

· Own the maintenance workflow from initial identification through assignment, prioritization, tracking, quality review, and documented completion.

· Lead and direct on-site operational personnel, set clear expectations, delegate effectively, and hold team members accountable for results.

· Proactively manage vendors, service schedules, deliverables, deadlines, and workmanship; address performance concerns promptly.

· Conduct routine common-area and property inspections; document findings and coordinate corrective action.

· Build and maintain reliable systems for preventive maintenance, required inspections, equipment inventories, deadlines, and follow-up.

· Prepare scopes of work, requests for proposals, and vendor comparisons for association projects.

· Coordinate resale/disclosure inspections and related administrative processing.

· Maintain exceptionally organized, accurate, and accessible records, property files, project logs, and operational documentation.

· Respond promptly and professionally to homeowner inquiries, track follow-up, and coordinate appropriate resolutions.

· Provide clear, concise status reports and recommendations to senior management, the board, and committees; attend scheduled evening meetings as needed.

· Coordinate response to urgent maintenance matters, including occasional after-hours emergencies.

· Operate independently within established authority, identify emerging issues early, recommend practical solutions, and escalate matters appropriately.

Qualifications

· At least two years of community association management or closely related operational leadership experience preferred; demonstrated leadership responsibility strongly valued.

· Exceptional organizational and time-management skills, with a proven ability to establish systems, manage competing deadlines, and close the loop on every assignment.

· Demonstrated success leading personnel, coordinating complex maintenance activities, managing vendors, and driving projects to completion.

· Confident, professional communication; strong judgment; proficiency with office, tracking, and work-order systems; and the ability to communicate difficult issues constructively.

· A true self-starter who anticipates needs, makes sound day-to-day decisions, solves problems proactively, and takes personal ownership of outcomes.

· Certified Manager of Community Associations (CMCA) designation required. AMS or PCAM designation is a plus.

· Valid driver’s license required.
