Job description
About this role
The Accounts Payable (AP) department is responsible for managing and recording all financial obligations and outstanding payments that a company owes to its suppliers, creditors, and service providers.
Its primary responsibilities are divided into the following key areas:
1. Invoice Management and Verification
- Receipt and Recording: Receiving supplier invoices and entering them into the company’s accounting system or ERP.
- Matching: Performing verification—often a "three-way match"—by comparing the supplier’s invoice against the purchase order and the delivery receipt (packing slip) to ensure that the amount charged corresponds exactly to what was ordered and received.
- Discrepancy Resolution: Investigating and correcting differences in pricing, quantities, or terms before approving payment.
2. Payment Processing
- Disbursement Scheduling: Organizing the payment schedule to take advantage of early-payment discounts or to avoid late fees.
- Payment Execution: Issuing electronic transfers (ACH, wire transfers) or checks
- Expense Reimbursements: Processing and verifying employee expense reports (travel expenses, petty cash).
3. Reconciliation and Record-Keeping
- Account Reconciliation: Comparing supplier statements of account against internal general ledger records.
- Archiving and Record Retention: Maintaining an organized, auditable archive of all vouchers, invoices, and payment documentation.
- Aging Analysis: Monitoring the accounts payable aging report to identify overdue invoices or those coming due.
4. Supplier and Stakeholder Relations
- Supplier Inquiries: Responding to questions regarding invoice status, payment dates, or withholdings. • Data maintenance: Keeping each supplier’s tax, banking, and contact information up to date (e.g., W-9 forms in the U.S.).
5. Compliance, internal controls, and reporting
- Internal policies: Ensuring that every payment has the required authorizations and signatures, in accordance with the company’s policy manual.
- Audit support: Providing the information and documentation required during internal or external audits.
- Cash flow analysis: Supplying key metrics to financial management, such as cash outflow projections or the calculation of Days Payable Outstanding (DPO).
The Company offers an excellent benefits package, competitive pay, and opportunities for meaningful professional growth.
