About this role
About Us
The Law Offices of David Bliven is a leading divorce and family law practice serving Westchester and Bronx counties. We focus on high-net-worth divorces, high-conflict custody disputes, and trial-intensive family law matters. Our team includes the founding attorney, a law clerk on track to become an associate, paralegals, an administrative assistant, and remote virtual assistants.
We hold ourselves to the highest standard of client service while protecting our team’s work-life balance.
The Role
This is the operations seat for the firm. You will be the person on the ground who keeps the practice running so the attorneys can practice law. You will own billing and collections, the firm’s systems and numbers, and the day-to-day coordination of our support team.
You will also lead firm improvement projects from start to finish. Our founding attorney sets direction and priorities with you; you build the plan, do the work, and report progress. If you like taking a project from “we should fix this” to “it’s done and here’s the result” without being chased, this role is for you.
What You Will
- Own ● Billing & collections.
- Prepare, review, and send monthly invoices.
- Keep timekeeping accurate in Clio, follow up on receivables, and keep financial records clean in Clio and QuickBooks. ● The firm’s numbers.
- Update the weekly scorecard every Monday, including paralegal billable hours, intake, and collections.
- Bring the numbers to our weekly team meeting and flag anything off track. ● Systems & procedures.
Administer Clio
Manage and Clio Grow, connect them to QuickBooks and our KPI dashboard, and write and maintain the firm’s operating procedures so work is done the same way every time.
● Team coordination. Coordinate the administrative assistant and remote virtual assistants: assign work, review quality, and own the weekly client follow-up and error reports. Support the attorney in hiring and onboarding future staff.
● Firm projects. Lead quarterly priority projects with the founding attorney and fractional COO, from plan to finish, with clear milestones and weekly updates.
● Intake backup. Step in on intake when needed: screen prospective clients, schedule consultations, and communicate with professionalism and empathy.
● Office operations. Keep both offices and our paperless systems running smoothly: vendors, supplies, technology, and access.
For Transparency - What This Role Is Not
This is not a paralegal role. You will not draft motions, pleadings, or other legal documents. Our paralegals handle that work, and you will support them with scheduling, systems, and coordination.
If your goal is to do substantive legal work, this position is not the right fit, and we want you to know that up front.
Requirements
● 3+ years managing operations or administration in a law firm, preferably in family law or litigation.
● Proven legal billing experience: time tracking, invoice preparation, and accounts receivable follow-up.
● A track record of owning projects from start to finish with little day-to-day direction. Be ready to share examples.
● Comfort working with numbers: building simple reports, spotting trends, and explaining what they mean.
● Associate degree or equivalent work experience.
● Able to work in person at our White Plains and Riverdale (Bronx) offices. There will be some work-from-homes, but the vast majority of the work week will be in-office.
Preferred
● Clio Manage and Clio Grow experience, or a comparable legal practice management system.
● QuickBooks Online experience.
● Experience supervising staff or remote virtual assistants.
● Familiarity with KPIs, scorecards, quarterly priorities, or the Entrepreneurial Operating System (EOS).
Who Thrives Here
You follow through without being reminded. You communicate before a deadline is in trouble, not after. You are organized, calm under pressure, and kind to clients going through the hardest times of their lives.
You act with integrity and you care about getting it right.
