About this role

About Knotwood

At Knotwood, we believe the way we treat people matters. Knotwood manufactures architectural aluminum systems featuring realistic woodgrain and specialty powder-coat finishes. Our systems—including exterior cladding, batten screens, pergolas, decking, and louvers—are specified by architects, general contractors, and designers across North America.

Role Overview

We are looking for a highly organized, personable, and detail-oriented Marketing Coordinator who builds great rapport with partners and vendors, and keeps our marketing operations running smoothly while contributing to a vibrant, collaborative office culture!

Reporting directly to the Marketing Director, you will serve as the logistical backbone of our team. We offer a hybrid work environment (typically 3 days in-office, 2 days remote).

Because this role handles essential physical responsibilities—such as receiving, packing, and dispatching promotional materials—you must have the flexibility to adjust your remote days or come into the Phoenix office if an urgent shipment, event, or critical deadline requires on-site attention.

Travel is generally not required; trade show coordination is managed in advance from Phoenix, with occasional on-site support for local events.

What You’ll Do

  • Trade Show Logistics: Coordinate all advance operational details for regional and national trade shows. Submit exhibitor paperwork, order required on-site services (carpet, electrical, badge scanners), schedule booth crate freight shipments, and manage post-event return shipping to Phoenix.
  • Lead Processing & Email Coordination: Organize, clean, and format attendee badge scan data from spreadsheets (CSVs) following events. Upload contacts accurately into our CRM, help execute targeted follow-up email campaigns, and track basic response metrics.
  • Promotional Merchandise & Materials: Source, order, organize, and inventory branded promotional items, marketing collateral, and apparel. Apply good taste and judgment to ensure all selected merchandise reflects Knotwood’s premium, luxury brand identity. Pack and fulfill incoming marketing material requests from regional sales representatives and partners.
  • Vendor & Purchase Coordination: Request vendor quotes, draft purchase orders, verify packing slips, and confirm invoice accuracy with print shops, promotional vendors, and freight carriers.
  • Local Event Support: Assist with planning and hosting occasional on-site factory open houses, local AIA meetings, or partner training sessions in Phoenix.
  • Creative & Department Support: Assist the creative and social media team with minor tasks, such as gathering product samples for photoshoots or capturing quick behind-the-scenes content in the facility. Jump in to support general marketing and sales needs as project priorities evolve.

What We're Looking For

  • Experience: 1–3 years in a marketing coordinator, administrative support, or logistics/event-planning role.
  • Design & Brand Sensibility: You don't need to be a graphic designer, but you should have a sharp eye for detail, good taste, and the judgment to select and approve physical items that properly represent a high-end architectural brand.
  • Interpersonal Skills: A friendly, approachable team player who brings positive vibes to the office, communicates professionally with external suppliers and clients, and collaborates smoothly across departments.
  • Organizational Skills: Exceptional attention to detail, strong calendar management, and the ability to track multiple deadlines independently.
  • Spreadsheet & Tech Comfort: Solid proficiency in Microsoft Excel or Google Sheets (sorting, filtering, and preparing clean contact lists). Hands-on experience with tools like HubSpot CRM and Brevo is an asset. Ultimately, we want this person to become the marketing team's internal expert for our developing in-house custom CRM system.
  • Physical Capability: Ability to safely lift, pack, and unpack boxes of promotional materials, sample boxes, and display components weighing up to 35–40 lbs.
  • Bonus Points: Basic familiarity with design tools like Adobe Creative Cloud, or prior experience in the architecture, building materials, or manufacturing industries.

Work Schedule

  • Work Schedule: Hybrid flexibility based on business needs (typically 3 days in-office, 2 days remote). Candidates must be willing to work on-site as required to meet shipping and operational deadlines.

Why Join Knotwood?
