Job Overview
Hearts of Hope, LLC is seeking a detail-oriented, proactive, and dependable Human Resources & Staffing Coordinator to manage the full employee lifecycle for our Direct Support Professionals (DSPs). In this role, you will lead recruitment, onboarding, employee relations, disciplinary procedures, and offboarding while ensuring strict state compliance.
You will also serve as a key partner and primary backup to our Scheduling Coordinator to support continuous operations.
This position requires discretion, strong interpersonal and conflict-resolution skills, and the ability to navigate sensitive personnel situations—including issuing corrective actions and conducting employee separations—professionally and ethically.
Duties & Responsibilities

- Coordinate and represent the agency at local job fairs and community recruitment events.
- Manage the offer letter process and execute all new hire paperwork (I-9 verification, tax forms, direct deposit, and agency agreements).
- Initiate, track, and clear all mandatory state-required background checks prior to an employee's first shift, including CCHSP (fingerprinting), EAR/COR, NM Courts, and registries.
II. Onboarding, Training & Personnel Records
- Conduct comprehensive New Hire Orientations covering agency culture, code of conduct, and operational policies.
- Partner with the Agency Trainer to verify all state (DDSD) and agency-mandated certifications (CPR/First Aid, ANE, Assisting with Medications) are completed prior to field placement.
- Coordinate with the Scheduling Coordinator to ensure new staff complete all Individual Specific Trainings (ISTs) before working with individuals.
- Audit and maintain digital and physical personnel files, ensuring continuous compliance with required licenses, auto insurance, CPR/First Aid, and ongoing training logs.
III. Employee Relations, Performance Management & Offboarding
- Act as the frontline point of contact for employee questions, workplace concerns, and initial grievance resolution under company policy.
- Oversee the corrective action process: partner with supervisors to investigate incidents, draft formal disciplinary write-ups, and deliver verbal/written warnings.
- Develop, implement, and track Performance Improvement Plans (PIPs) to support employee development and accountability.
- Manage the separation process: conduct exit interviews, process voluntary resignations, and carry out involuntary terminations in alignment with agency leadership (including in-office, field, or client home locations when necessary).
- Maintain accurate, up-to-date documentation in the agency's staff interactions tracking database and ensure all disciplinary files are securely archived.
IV.
