Job description

About this role

Run day-to-day operations for a 300-door third-party residential property management company in Chicagoland. You'll lead a six-person leasing, maintenance, and admin team so the owner can focus on growth. At some larger companies, this seat is called Director of Property Management.

About Domain Property Management

Domain Property Management is a third-party residential property manager based in Logan Square on the North Side of Chicago, Illinois. We manage nearly 300 scattered-site rental units across Chicagoland — single-family homes, condos, and small multifamily buildings — on behalf of individual owners and investors. We will continue to grow the company intentionally with the right clients and the right properties.

Our team of six works remotely across the US and abroad: leasing, maintenance coordination, and administration. We run on Aptly, AppFolio, RentEngine, and Property Meld.

The role

Your job is to own property management operations so the owner doesn't have to. The team handles the daily execution — showings, work orders, rent collection, move-ins and move-outs. You make sure it happens well, on time, and without the owner stepping in.

Three things stay on your desk personally:

  • Owner relations. You are the point of contact for our clients — the property owners. You answer their questions, review their statements, and keep them confident their property is in good hands.
  • Escalations. When a tenant issue, a vendor dispute, or a maintenance problem gets past the team, it comes to you. You resolve it.
  • Maintenance billing. You review and approve in-house maintenance charges to owners so the numbers are right before they go out.

Everything else is leadership: setting priorities, holding the team to standards, fixing broken processes, and reporting to the owner on how the portfolio is performing. You report directly to the owner and have authority over day-to-day decisions, hiring recommendations, and team performance.

What you'll do

  • Lead the team. Manage six US-based and international teammates across leasing, maintenance coordination, and admin. Set weekly priorities, run check-ins, coach, and hold people accountable to clear standards.
  • Own owner relationships. Serve as the primary contact for property owners. Handle onboarding, questions, statement reviews, and renewals of our management agreements.
  • Handle escalations. Take tenant, vendor, and owner issues that the team can't resolve and close them out calmly and fairly.
  • Oversee leasing. Make sure vacancies are marketed quickly, showings happen, applications are screened consistently, and renewals go out on time. Watch days-on-market and occupancy.
  • Oversee maintenance. With the maintenance coordinator, make sure work orders are triaged, dispatched, and closed promptly. Review and approve maintenance billing to owners and tenants.
  • Oversee turnovers. Keep move-outs, make-readies, and move-ins moving so units are rent-ready fast.
  • Watch the money. Monitor rent collection, delinquencies, owner distributions, and AP/AR with the admin team. Flag problems before they become owner calls.
  • Fix the process. Keep HubSpot workflows, AppFolio, and Property Meld clean and used the way they're meant to be. When something breaks repeatedly, redesign it.
  • Report up. Give the owner a weekly operations summary and a monthly portfolio review: occupancy, delinquency, maintenance spend, owner churn.

What you bring

Required

  • 3+ years at a third-party (fee-based) residential property management company managing single-family, condo, or scattered-site rentals. On-site multifamily, HOA/community association, or owner-operator experience alone is not a fit for this role.
  • 1+ years leading or supervising others — a team, a pod, or an assistant and coordinators.
  • Working knowledge of residential maintenance: you can read a vendor estimate, tell a reasonable repair from a padded one, and explain a charge to an owner.
  • Comfortable managing a remote team, including teammates in other time zones.
  • Hands-on with property management software (AppFolio, Buildium, Propertyware, or similar) and a CRM. HubSpot and Property Meld experience is a plus.
  • Clear, professional written and spoken English — you'll be the voice to owners.
  • Calm under pressure and decisive. Escalations end with you.
  • Based in the US and able to work Central Time business hours.

Not required, but helpful

  • Experience in the Chicago-area rental market or Illinois landlord-tenant rules (RLTO, CRLTO, security deposit law).
  • Illinois real estate broker or managing broker license
  • Experience at a company that grew from under 200 doors to 500+.
