About this role

About City Nights

City Nights is an established San Francisco nightlife and entertainment venue. We are seeking an experienced, hands-on Payroll & HR Manager to take ownership of payroll processing, day-to-day human resources operations, and related administrative responsibilities.

This position will begin part-time, with the potential to grow into a full-time role based on business needs, performance, and mutual fit.

This position works directly with ownership, management, and accounting to ensure employees are paid accurately, personnel records are organized, and HR processes are handled consistently and professionally.

The ideal candidate works independently, takes initiative, follows through on deadlines, and helps managers handle employee matters with sound judgment and discretion.

Key Responsibilities

Payroll Management

  • Independently manage accurate, timely payroll processing using QuickBooks Payroll.
  • Review timekeeping records, pay rates, overtime, adjustments, and deductions before processing payroll.
  • Resolve missing punches and timekeeping discrepancies with department managers.
  • Maintain accurate payroll information for new hires, pay changes, and employee separations.
  • Coordinate payroll reporting and reconciliation with the accounting team.
  • Respond to employee payroll questions and resolve discrepancies.
  • Maintain organized payroll records and recommend improvements to payroll procedures.

Human Resources Management

  • Manage employee onboarding and offboarding, including paperwork, checklists, personnel records, and coordination with management.
  • Maintain complete, accurate, and confidential employee files.
  • Coordinate employee separations and final-pay processing with management.
  • Help managers prepare clear, factual disciplinary documentation, written warnings, and performance improvement plans.
  • Establish and track 30-, 60-, and 90-day employee reviews, goals, and follow-up deadlines.
  • Track attendance, time-off requests, policy acknowledgments, and required employee documentation.
  • Help maintain and consistently apply company policies and HR procedures.
  • Identify potential California and San Francisco employment compliance issues and coordinate with ownership and outside advisors when needed.
  • Serve as a point of contact for routine employee concerns and escalate sensitive matters appropriately.
  • Recommend improvements to HR systems, documentation, and employee processes.

Administrative Coordination

  • Maintain organized HR and payroll calendars, records, reports, and outstanding-task lists.
  • Coordinate employee-related communications between ownership, managers, and accounting.
  • Assist with event ticket inventory, including tracking allocations, updating records, and reconciling ticket counts with management.
  • Provide general administrative support as needed, with payroll and HR responsibilities taking priority.

Qualifications

Required

  • At least 3 years of relevant payroll and HR experience, including independently processing payroll and handling day-to-day HR administration.
  • Experience working with California hourly employees and varying schedules.
  • Working knowledge of California wage-and-hour requirements, employee recordkeeping, and onboarding/offboarding procedures.
  • Experience preparing or maintaining disciplinary and performance-related documentation.
  • Strong organizational skills, attention to detail, and dependable follow-through.
  • Ability to identify issues, recommend practical solutions, and work independently.
  • Strong written and verbal communication skills.
  • Proficiency with Excel or Google Sheets and payroll, HR, and timekeeping systems.
  • Ability to handle confidential employee and financial information with discretion.

Preferred

  • QuickBooks Payroll experience. Candidates with strong ADP, Gusto, Paychex, or comparable payroll experience are encouraged to apply.
  • Experience in hospitality, restaurants, nightlife, entertainment, or another business with a large hourly workforce.
  • Familiarity with San Francisco employment requirements.
  • Experience with Sling or similar scheduling and timekeeping software.
  • Experience improving HR processes or implementing payroll and HR systems.
  • HR certification such as SHRM-CP or PHR.

Schedule and Compensation

  • Initially part-time: 25–30 hours per week.
  • Opportunity to transition to a full-time role based on business needs, performance, and mutual fit.
  • $45–$55 per hour, depending on relevant experience and qualifications.
  • In-person work at our San Francisco office.
  • A consistent weekly schedule will be agreed upon, with availability required around payroll deadlines.

Who Will Succeed in This Role

You are comfortable taking responsibility for completing payroll and HR tasks accurately and on time. You can work directly with ownership, follow up with busy department managers, and keep employee documentation organized without frequent reminders.

You bring practical experience, professional judgment, and the confidence to flag problems and help resolve them.

  • Your experience independently processing payroll, including the systems used and approximate employee count.
  • Your experience managing HR administration and employee documentation for California employees.
