About this role

Position Summary

The Accounting Manager supports Casa Morada’s financial operations through oversight of accounts payable, accounts receivable, reconciliations, reporting, and day-to-day accounting processes. Based in Miami, this role works closely with Finance and property leadership to maintain accurate financial records, strengthen checks and balances, investigate discrepancies, and support timely month-end close.

The position requires hotel accounting experience and participation in monthly inventory counts and reconciliation to help ensure effective cost controls and reliable financial reporting.

Reconciliations and Revenue Verification

· Prepare bank, credit card, merchant settlement, and assigned balance sheet reconciliations; investigate differences and clear outstanding items promptly.

· Reconcile daily hotel and food and beverage revenue from the property management and point of sale systems to accounting records, deposits, and payment processor reports.

· Review cash deposits, refunds, voids, discounts, complimentary transactions, and adjustments for accuracy and required supporting approvals.

· Reconcile guest ledger, advance deposits, accounts receivable, and clearing accounts; monitor unapplied receipts, chargebacks, and aging items.

· Maintain supporting schedules and a reconciliation tracker showing open items, responsible parties, and resolution deadlines.

Financial Controls and Checks and Balances

· Verify that transactions have appropriate documentation, coding, and approval before recording or submitting them for payment.

· Maintain separation between transaction preparation, approval, payment release, and reconciliation under established finance controls; escalate conflicts or exceptions.

· Review unusual charges, duplicate invoices, missing deposits, unsupported adjustments, and recurring discrepancies; document findings and coordinate corrective action.

· Check vendor statements against accounting records and verify vendor changes through approved procedures.

· Maintain organized financial records and audit support; promptly escalate suspected irregularities to Finance leadership.

Accounts Payable and Receivable

· Record and code invoices, matching them to purchase approvals and delivery or service documentation as applicable.

· Prepare payment schedules and supporting documentation for authorized approval and release; track due dates and resolve vendor discrepancies.

· Review receivable aging, follow up on outstanding balances with the relevant property team, and document collection activity.

· Coordinate with the Hotel Manager on payroll summaries and accounting entries, and reconcile approved payroll-related balances with Finance.

Monthly Inventory and Cost Verification

· Participate in monthly physical inventory counts at Casa Morada, coordinating schedules and count procedures with the Food and Beverage Manager, Chef, and Hotel Manager.

· Verify count sheets, units of measure, purchase costs, and supporting documentation for food, beverage, and other designated inventories.

· Reconcile physical counts to inventory records and the general ledger; investigate shortages, overages, waste, transfers, and unusual usage.

· Prepare inventory valuations and cost of sales schedules using approved accounting methods; submit adjustments for review and approval.

· Report inventory variances and control concerns to Finance and operational managers, and follow up on agreed corrective actions.

· Month End Close and Reporting

· Prepare assigned journal entries, accruals, prepayments, and account schedules with complete supporting documentation.

· Complete reconciliations and close tasks within the monthly timetable; flag missing information or unresolved issues early.

· Prepare financial schedules and assist Finance leadership with monthly reporting and review of revenue, expenses, and operating results.

· Explain material variances against prior periods and approved budgets, working with operational managers to confirm the underlying causes.

· Support audit requests, tax-related schedules, and other finance reviews by providing accurate records to the responsible Finance team or external advisers.

Property Coordination

· Maintain regular communication with the General Manager and property managers on missing documentation, reconciliations, inventory, and financial controls.

· Help operational teams follow purchasing, cash handling, invoicing, and record submission procedures.

· Support accounting setup and opening readiness as needed, including account mapping, transaction workflows, and initial inventory records.

Qualifications and Experience

· Minimum three years of accounting experience, including hotel or resort accounting experience.

· Practical knowledge of hotel revenue flows, property management and point of sale systems, merchant settlements, and guest deposits.

· Strong experience preparing bank and balance sheet reconciliations, investigating discrepancies, and supporting month-end close.

· Experience participating in physical inventory counts, inventory reconciliation, and food and beverage cost verification.

· Working knowledge of accounts payable, receivable, journal entries, accruals, and internal controls.

· Strong Excel skills, including reconciliation tools, lookups, and pivot tables; proficiency with accounting software and ability to learn property systems.

· High attention to detail, sound judgment, confidentiality, and the ability to meet deadlines and resolve issues with operational teams.

· Degree in accounting, finance, or a related field, or an equivalent combination of relevant education and practical experience.
