About the Role

Armada is building a world-class experiential engine, and we’re hiring a Senior Events Operations Manager to run the logistical, technical, and operational foundation behind our global events portfolio.

This role is the day-to-day operator of our events machine, ensuring every program is planned, resourced, documented, and executed with precision across the Americas, EMEA, and APAC. You’ll support executive-level experiences and collaborate closely with events leadership to uphold Armada’s quality bar and ensure programs scale without sacrificing consistency or craft.

This role reports directly to the VP of Experiential Marketing and will support across the entire events function.

This is a hands-on, detail-driven, high-ownership role for someone who thrives in fast-paced environments and loves turning ambitious ideas into flawlessly run experiences.

Location. This role is office-based at our San Francisco (HQ) office.

What You'll

Own (Key Responsibilities)

Event Planning & Operational Delivery

  • Manage end-to-end operations for third-party conferences, owned experiences, field programs, executive engagements, and internal events.
  • Build detailed workback plans, run-of-show documents, staffing plans, production schedules, and contingency plans.
  • Oversee registration, attendee communications, F&B, AV, production, transportation, security, and on-site execution.
  • Support executive and VIP logistics, which may include travel coordination, briefing materials, green rooms, rehearsals, handlers, and on-site movement, ensuring these experiences meet Armada’s bar for polish and precision.
  • Serve as a calm, decisive on-site lead who anticipates issues, resolves them quickly, and protects the guest and executive experience.

Systems, Tools & Portfolio Management

  • Build and maintain the operational systems that keep the global portfolio running: intake, briefs, approval workflows, calendars, templates, checklists, and service standards.
  • Maintain a single source of truth for event dates, owners, budgets, milestones, executive participation, content needs, and cross-functional dependencies.
  • Create scalable processes that ensure consistency across regions while allowing for local adaptation.
  • Partner with Marketing Operations to improve event technology, registration systems, lead capture, data hygiene, integrations, and reporting workflows.
  • Ensure systems and standards reflect Armada’s experiential expectations and support the broader experiential strategy.

Budget, Vendor & Risk Management

  • Own budget tracking, purchase orders, invoices, accruals, reconciliations, and forecasting in partnership with Finance and program owners.
  • Lead vendor sourcing and management across agencies, venues, production, audiovisual, fabrication, hospitality, transportation, gifting, and staffing.
  • Support contract negotiations, scopes of work, change orders, payment schedules, insurance, permits, and compliance.
  • Track inventory, assets, signage, collateral, and shipping logistics to reduce waste and improve reuse.
  • Maintain risk, safety, and contingency standards for global events, escalating decisions at the right time.

Cross-Functional Partnership & Measurement

  • Partner with Field Marketing, Corporate Marketing, Sales, Executive Operations, Communications, Product Marketing, People, Finance, Legal, and Procurement to deliver aligned programs.
  • Collaborate across the entire Events team to ensure operational delivery supports experiential strategy, executive programs, and global consistency.
  • Run clear planning cadences, document decisions, surface risks early, and ensure stakeholders understand ownership, deadlines, and next steps.
  • Ensure attendee and engagement data is accurate, timely, and connected to the right systems to support pre-event targeting and post-event follow-up.
  • Create post-event recaps that capture budget performance, attendance, engagement, operational learnings, and recommendations for continuous improvement.

What You'll Bring

  • 8+ years in event operations, experiential production, or event marketing in a fast-paced B2B environment.
  • Proven experience managing complex events end-to-end, including executive programs, conferences, field events, internal meetings, and multi-vendor productions.
  • Exceptional project management skills with mastery of timelines, budgets, logistics, documentation, and cross-functional coordination.
  • Experience managing agencies and vendors, including scopes of work, contracts, production schedules, invoices, and on-site teams.
  • Strong financial discipline and comfort owning detailed budget tracking, forecasting, reconciliation, and procurement workflows.
  • Clear, proactive communication style and the judgment to know when to solve independently and when to escalate.
  • Ability to stay composed under pressure, shift priorities quickly, and maintain a high bar for detail and guest experience.
  • Willingness to travel frequently, including internationally, and work early mornings, evenings, and weekends during event cycles.

Nice to Have

  • Experience supporting a global event portfolio across the Americas, EMEA, and APAC.
  • Familiarity with event platforms, project management tools, CRM/marketing automation systems, and lead capture integrations.
  • Experience producing executive briefing centers, customer advisory boards, sales kickoffs, or large-scale flagship events.
  • Background in AI, enterprise technology, infrastructure, or energy.

To ensure fairness and transparency, the starting base salary range for this role for candidates in the U. S. are listed below, varying based on location experience, skills, and qualifications.

In addition to base salary, this role will also be offered equity and subsidized benefits (details available upon request).

Final compensation will be determined by experience, scope, and level, and may vary from the posted range.
